Essential Duties:
The Front Office Assistant is the face of each RSO location to help ensure a high level of service and smooth operations for both patients and team members. Reporting to the Office Manager/Administrator, the primary role is scheduling appointments, giving information to callers, and relieving officials of clerical work and minor administrative/business details by performing the following duties.
- Greet patients and visitors in person and on the telephone.
- Answer inquiries or refer questions to other team members.
- Prepare and maintain patient charts for daily and weekly medical procedures.
- Ensure accurate patient data is input into the computer system daily.
- Process all credit card refunds and airfare reimbursement requests by preparing forms for the Finance Department.
- Process room reservation fees by inputting reservations into the computer system and logging in.
- Field all incoming collection calls regarding financial issues and refer them to the Senior Counselor if necessary.
- Schedule patients for procedures, consultations, and post-operative visits.
- Coordinate appointments with Senior Counselors and the Patient Services Department staff.
- Follow Bosley guidelines established for scheduling to ensure the most effective and optimum utilization of consultation and procedure rooms.
- Transfer administrative notes from patient’s consultation into the computer system.
- Perform patient collections for procedures based on the number of grafts and the appropriate fee per graft to be charged.
- Prepare daily batches by entering appointment slips into the computer system and ensuring accurate patient account information.
- Contact patients daily by telephone to confirm appointments.
- Process patient confirmation letters upon request.
- Update (tick) all procedures, consults, and post-op visits.
- Endeavor to keep patients on schedule by reminding the Patient Coordinator of service delays.
- Maintain correct inventory levels of Bosley forms, hair care products, and other office supplies.
- Maintain a neat and orderly main reception, private reception, and front office work area.
- Participate in OSHA and Bosley safety programs and training.
- Support and enforce Injury and Illness Prevention Policies
- Ensure the integrity, confidentiality, and appropriate use of all patient and prospective patient information, as well as all company financial, employment, marketing, and management information resources.
- Perform related work at the direction of the Office Manager/Administrator. Direction is received from the Office Manager or Administrator, with most tasks performed independently. Duties are performed following established procedures, with an emphasis on meeting patient schedules and task deadlines. Must be professional and actively foster a teamwork environment to meet department objectives.
- Schedule post-op and suture removal upon patient check-in.
Qualifications: AA or equivalent from 2-year college or technical school; or 6 months to 1-year related experience and/or training; or equivalent combination of education and experience.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to speak effectively before groups of customers or team members of the organization.
- Unrestricted work authorization to work in the United States.
